Leybold UK Ltd are currently recruiting for a Customer Care/Order Processing Administrator in their Chessington office.   This is a pivotal role that requires the job holder to be able to support customers and the Chessington team, where attention to detail is critical.  This is a varied role and will provide the job holder ample opportunity to learn about the business and progress.

Main Job Responsibilities

The job holder communicates with the customer on a regular basis in writing and by telephone on the following main points within the scope of his tasks:

- Investigation, monitoring in order to guarantee confirmed delivery date or call date and liaising with customers

- Inspection and collection of customer returns with warehouse/logistic support (if any)

- Reconciliation and clarification when accounts are blocked (overdue receivables)

- Communication of decisions on down payments/partial payments, guarantees and warranties

- Acceptance, processing, if necessary and channeling of any complaints such as wrong delivery, price differences, packaging costs, scheduling, forwarding delivery together with the Customer Complaint specialist and Customer Care / Sales and Service Administration

- Ensuring export control for customer orders

- Decision and coordination of unclear, open and deviating contract conditions

- Claiming overdue payments, deciding on collection procedures

- Carrying out inventories (loans and consignment stocks) and ensuring compliance with loan periods and proper stocktaking

- Qualification of order details with the customer (accuracy checks with the customer: address, price) prior to booking

- Standard Components Forward Order
- Immediate order (express)
- Forward order for special production
- Consignment orders (consignment orders)
- lending orders
- return orders
- direct debit orders
- Internet-based customer order processing

Review and amend orders (part numbers, delivery date etc.)
- Monitoring of all orders with regard to guarantee of the confirmed date
- Coordination and clarification with production planning and purchasing (overdue deadlines, bring forward deadlines according to customer wishes, non-binding requests for deadlines from customers)
- Processing Alert Messages
- Reconciliation Forecast with Sales Planning or Key Account Manager for OEM’s
- Reconciliation for short-term unplanned requirements
- Edit delivery due list
- Consignment stock monitoring and orders will be done by the Sales administration

Dispatch-related activities
- Determination of freight and packaging costs done by Sales administration
- Creation of freight-related documents (e.g. packing lists, packaging certificates)
- Clarify delivery-related complaints
- Customer-related coordination with dispatch

Technical clarification
- Technical clarification and export control
- Check for parts that cannot be sold (status Dead, status A, successor number not yet standardized) in system R3
- Coordination with sales in case of unclear orders

Export control:
- Coordination or approval for correspondence, dispatch of documents (GA's, price list, catalogues) to sensitive countries
- Release of customer/product master data (new customers, new products)
- Participation in dealer agreements
- Create and approve an export control form to accompany the order
- Have the end-user certificate checked and approved

Activities related to accounting
- Clarification and reconciliation of reminders and open items, dunning procedure
- Obtaining credit information
- Clarification and coordination of order blocks and arrange for shipping
- Reconciliation of terms of payment
- Reconciliation of provisions (bonus, warranty)
- Assistance with applications for guarantees, warranties
- credit memo creation

- Coordination and coordination of inventories (loans, consignment)

Skills and Job Requirements

Vocational training in administration with substantial work experience

Administration in sales and / or after sales

SAP experience as well as MS Office

Accuracy, attention to details

Other requirements:

Excellent verbal and written English; Dutch or French would be a plus

Confident in interaction with end customers
